Major Job Duties / Responsibilities:
Provide support to the Vice Presidents by:
• Maintaining schedule and managing calendar
• Scheduling conference rooms and setting up meetings, as requested
• Creating and maintaining all travel itineraries
• Making reservations as requested
• Tracking all traveling and purchasing reimbursement requests
• Staying informed of company administrative policies and issues
• Handling sensitive information with good judgment and discretion
• Filing and maintaining office files and contact database
• Performing other general administrative duties and projects as assigned
• Submitting travel and other business related expenses for reimbursement consistent with company policies
• Preparing invoices, reports, memos, letters, financial statements and other documents, using word processing, spreadsheet, database, and/or presentation software
• Reading and analyzing incoming memos, submissions, and reports in order to determine their significance and plan their distribution
Perform billing related functions:
? Prepare invoices by analyzing raw information from databases
? Prepare weekly and month-end financial analysis intended to inform others throughout the company of revenue trends and issues
? Assist in process standardization & documentation of procedures in all aspects of pricing & billing.
? Interface with customers to reconcile invoice back-up information
? Create invoicing adjustments (Credit and Debit Memos) for invoices
? Support Account Services & Credit & Collections Depts. to resolve invoicing issues with customers.
? Other duties as assigned.
Qualifications/Experience Required:
The position requires a highly motivated dedicated and reliable self starter with
• Excellent organizational, communication and interpersonal skills
• Strong knowledge of Lotus Notes and Microsoft Office suit (Word, Power Point, Excel)
• A solid ability to prioritize and anticipate the needs of the executives
• Strong sense of responsibility and ability to work independently
• Ability to work cooperatively as a team member
